Privacy Statement

General
The following is a condition of use of this website. The submission of information or use of the website is deemed acceptance of these terms.
All information supplied by candidates (individuals seeking engagement's, including temporary workers) and clients (organisations paying fees or using free services) is edited, coded and retained within our computerised data systems. Editing and coding is used to standardise the information into acceptable and retrievable formats.
All information supplied is retained until we are requested to remove this information or at our discretion.
Access to our computerised systems is protected by differing levels of passwords. Our computer users (often called data processors) have restricted access to the information. Additional security procedures are designed to control access to data (e.g. the printing of data lists) and we have imposed a restriction on staff "taking home" copy files. Such safeguards do not garuntee security of the data (e.g. hacking)
Some aspects of the personal data stored on our computer systems is transmitted via electronic mail and this includes the sending of electronic mail to countries outside of the EEA. This data may or may not be encoded.

All employees are made aware of their obligations, regarding the use of personal data, at the point of their induction and reminders are issued at various throughout their employment.
Manual records are also used to store (replicate) some information.
Much of the data stored on our computer systems is used to provide industry wide data. We warrant that in providing industry wide data, no individual may be identified.
Our approach to protecting your privacy is divided into two parts, Candidates and Clients

 

Candidates (often referred to as consumers)
We consider that all information supplied to us by a potential or existing candidate, (including CV’s and application forms, received electronically or otherwise) is provided for our exclusive use in assisting candidates to find work related opportunities. As such, the provider of the information warrants that the information is correct, that the supplier has authority to provide the information and that we may use the information in the manner our trained staff feel appropriate for the purpose (i.e. in pursuit of work opportunities).

We subscribe to the UK recruitment industry body, the REC and abide by the code of practice endorsed by the REC, except where modified herein.

Except where required by legislation, or in support of a legal claim we do not provide any data to third parties other than in pursuance of employment opportunities. Specifically, we do not provide copies of our database or records held therein.

Candidates should note that a curriculum vitae (CV howsoever obtained and subsequently passed to our clients) may contain information which could identify the candidate. As such, we do not accept liability for disclosure arising from a curriculum vitae supplied by us, to our clients, if the disclosure arose as a result of service.

From time to time we "purchase" records from recruitment web sites. This information is only obtained in furtherance to a specific request from a client. Once stored on our computerised system the data is processed in the same way as all other records and is afforded the same degree of protection. SSR can not be held responsible for any inaccuracies in the data obtained from these sources, but will take immediate steps to erase or amend data which is known to be inaccurate or appears to be misrepresenting the candidate.

Various statues (laws) require us to retain some information, even after a candidate has requested to be "removed from our database". Such records are retained to ensure our compliance with the legislation only and is reduced to the minimum required under the legislation.

Clients
We consider that all information supplied to us by a potential or existing candidate, (including CV’s and application forms, received electronically or otherwise) is provided for our exclusive use in assisting employers to find potential workers. As such, the provider of the information warrants that the information is correct, that the supplier has authority to provide the information and that SSR may use the information in the manner our trained recruitment consultants feel appropriate for the purpose (i.e. in pursuit of seeking potential applicants or workers).

We subscribe to the UK recruitment industry body, the REC and abide by the code of practice endorsed by the REC, except where modified herein.

Except where required by legislation or in defence of a legal dispute, we do not provide information to third parties other than that which is already in the public domain.

Unless requested in writing, we do not release material that is not available in the public domain, that we consider to be sensitive such as, corporate plans, management culture and structures, accounts information or reward mechanisms.

Except where required by legislation or with just cause (e.g. to protect the identity of a candidate), an employee of the company will not knowingly withhold or misrepresent information about a candidate that is relevant to an application for employment.

Except with our prior written consent, our terms and conditions of business require that all clients; (a) only use the information supplied by us in furtherance of a specific opportunity, (b) shall safeguard the information and (c) shall not export any information outside of the European Economic Area.

General
Changes to our computer records are made when details are made known to our staff and as such may not be provided by the client or candidate themselves, e.g. the purchase of commercially available lists.

Copies of all information retained on our computer systems may be provided to the data subject (the specific candidate or client), provided they write to:

Prior to releasing such information, the Data Protection Officer will seek to verify the identity of the subject. In pursuance of this, non-digitally signed emails and fax requests are not acceptable.

A charge of not more than £10 may be required prior to the dispatch of any material.
